Scheduling Lead Follow-Ups and Assigning Counsellors
When a new lead is received in EduCtrl CRM, it is initially marked as Unassigned. Staff members with the Lead Assignment permission can assign the lead to themselves or to another counsellor or staff member.
Lead Assignment & Reassignment
Leads can be reassigned at any time based on workload or operational requirements.
All assignment activities are automatically tracked and displayed in the Lead Activity section for reference and audit purposes.
Whenever a lead is assigned to a staff member, the assigned user can receive notifications through:
- In-app notifications
- Email notifications
- WhatsApp notifications
This ensures counsellors are informed immediately about newly assigned leads.
Follow-Up Scheduling
When creating a lead manually from the backend, staff must select the Next Follow-Up Date during lead creation.
For leads received through other channels such as:
- Website forms
- CRM frontend
- Imports
- API integrations
the system automatically sets the next follow-up time to the current date and time.
Adding Follow-Up Details
After contacting or following up with a lead, staff members should update the follow-up details in the CRM.
To add a follow-up:
- Open the Leads page
- Click on the lead name or the Follow-Ups icon in the actions column
- In the popup window, go to “Add New Follow-up”
- Fill in the required details:
- Mode of Communication
- Follow-up Notes
- Next Follow-Up Date
Staff can also update the lead status during the follow-up process if required.

EduCtrl helps ensure timely lead follow-ups by sending reminders before the scheduled follow-up time.

Pending follow-up information is also visible in the staff dashboard under:
Dashboard → Lead Follow-Ups
This helps counsellors efficiently manage daily follow-up activities and avoid missed leads.
