Creating a New University Application
In EduCtrl CRM, a university application must be created to track the complete admission process for a student.
Applications can be created in two different ways.
Method 1: Create Application from Course Preferences
This is the recommended method when the student already has course preferences added.
Steps
- Open the Student Details page
- Navigate to the Course Preferences tab
- Locate the preferred course/program
- Click the “Create Application” button
During application creation, you must select:
- Whether the application is:
- DIRECT application to the university, or
- Processed through a Master Agent
- The staff member who should be assigned to manage the application
After submission, the application will be created and you will be redirected to the Application Details page.
Method 2: Create Application Directly from Applications Module
Applications can also be created manually from the Applications module.
Steps
- Go to:
Sidebar Menu → Applications → Create Application - Select the student
- Enter the course information
You can either:
- Search and select a course from the imported course database, or
- Use Manual Entry to enter course details manually
After entering the course information:
- Select whether the application is DIRECT or through a Master Agent
- Choose the staff member responsible for managing the application
- Submit the form to create the application
Once created, the system will redirect you to the Application Details page.
Application Assignment Notifications
When an application is assigned to a staff member, the assigned user will receive a notification regarding the new application assignment.
Default Application Status
Newly created applications are automatically assigned the Pending status.
The application will also become visible to the student in the Student Panel.
Managing Application Progress
As the admission process progresses, staff members should regularly update the application status and add related notes.
All application activities such as:
- Status changes
- Notes
- Updates
- Processing actions
are automatically tracked in the Application Activity section.
These updates are also visible to the student, helping maintain transparency throughout the admission process.
