Configuring Application Pipeline Stages

EduCtrl allows administrators to configure and manage the complete university application workflow using Application Pipeline Stages (also called Application Status).

You can configure application stages from:

Admin Panel → Settings → Application Status

Purpose of Application Pipeline Stages

The university admission process typically involves multiple stages such as document verification, fee payment, offer letter processing, and final admission steps.

EduCtrl allows you to customize these stages based on your organization’s workflow and admission process requirements.

Default Application Status Values

EduCtrl includes several predefined application stages, including:

  • Pending
  • Documents Ready
  • Admission Criteria Met
  • Application Fee Paid
  • Application Submitted
  • Offer Letter Received
  • Funds Under Assessment
  • COE Received
  • And more

You can modify these default stages or create additional custom stages as needed.

Updating Application Status

As an application progresses through different stages, the assigned staff member should update the application status accordingly.

During a status update, staff can:

  • Add notes
  • Upload supporting documents

These requirements are configurable for each status stage.

For every application status, administrators can define whether:

  • Notes are mandatory or optional
  • Document uploads are mandatory or optional

This helps standardize application processing workflows across the organization.

Restricting Backward Status Movement

EduCtrl also provides workflow control settings that determine whether staff members can move an application back to an earlier stage.

For example, you can restrict users from reverting an application once it has reached a specific stage.

This restriction does not apply to Admin users.

Closing Stages

Application stages can also be marked as Case Closing Stages.

A closing stage indicates that the application process has been completed, either as:

  • Successful completion
  • Rejected / Failed application

This helps clearly identify finalized applications in reports and dashboards.

Country-Specific Application Stages

Since admission workflows vary by country, EduCtrl allows you to create country-specific application stages.

For example:

  • UK admission stages may differ from Canada or Australia workflows.
  • You can assign specific statuses to selected countries only.

If no country is specified, the application status will be available for all countries.

This flexibility helps organizations manage international admission workflows more efficiently.
