Lead Qualification and Status Tracking
This article explains how to qualify leads and track their progress using lead statuses in EduCtrl CRM. This helps consultants prioritize their follow-ups, stay organized, and improve overall conversion performance.
Prerequisites
- Admin or staff access with lead management permissions
- Lead sources and staff roles properly configured
- Optional: Custom lead statuses set up under Settings > Leads
A. Understanding Lead Statuses in EduCtrl
Each lead in EduCtrl CRM is assigned a status to indicate where it is in the qualification journey.
Common default statuses include:
- New Lead
- Counseling
- Potential
- Warm
- Cold
- Long Term Nurture
- Registered
- Rejected
Admins can define, edit, or reorder these statuses from:
Settings > Leads
These statuses help your team categorize and track leads through different engagement stages.
B. Updating Lead Status
- Go to Leads from the left-hand menu
- Click the Edit icon next to the lead's follow-up field
- In the Status dropdown, select the appropriate lead status
- Click Save
You can also update a lead’s status from the full lead profile while adding a follow-up.
C. Using Filters to Track Leads by Status
- Navigate to the Leads module
- Use the Filter By option
- Select Lead Status and choose a specific status (e.g., Counseling, Warm, Rejected)
- Apply additional filters like Source, Assigned Staff, or Branch if needed
- View or export the filtered list for follow-up, analysis, or reporting
E. Best Practices
- Create a clear and consistent status structure that matches your sales/consulting process
- Use actionable statuses like Follow-Up to prompt timely outreach
- Regularly mark leads as Not Interested, Rejected, or Duplicate to maintain a clean pipeline
- Train your team to update lead statuses after every key interaction or follow-up
