Understand the basics of workflow automation in EduCtrl CRM and how it helps automate tasks like sending messages, assigning leads, and following up without manual effort.

Prerequisites

  • Admin or Manager access to the Automation module
  • At least one message template created for Email, SMS, or WhatsApp

Step-by-Step Instructions

  1. Go to Automation > Workflows from the left-hand menu.
  2. Click + New Workflow to begin setting up automation.
  3. Enter a Title for your workflow.
  4. Select a Workflow Type. Available types include:
    • Lead Nurture Sequence: Send messages to cold or unresponsive leads at intervals.
    • Message Sequence: Send a series of timed messages to a specific audience.
    • Specific Event: Trigger an action when a defined event (e.g., lead conversion, application submission) occurs.
  5. Choose the Send Method: select Email, SMS, or WhatsApp.
  6. Configure the Schedule:
    • Set timing for each message (e.g., 10AM, 2 days after event).
    • Define criteria such as lead age, lead status, or target service.
  7. Select a Message Template to be used.
  8. Add multiple steps or messages as needed to build a sequence.
  9. Click Submit to activate the workflow.
